What to do when an employee says they hit their target.

When an employee submits a claim you are emailed, and it appears here waiting for you. Nothing is released until you decide.
What you see#
- Who claimed, and against which goal.
- The target, where they started, and what they say they reached.
- Their note explaining the period.
- How many units are released if you approve.
Your four options#
| Decision | When to use it | Effect |

| Approve | They hit the target. | Units added to their earned total straight away. |
| Partially approve | They came close, or delivered part of it. | You choose how many units to release. |
| Decline | The target was not met. | No units released. The goal usually carries into the next period. |
| Ask for more detail | You cannot tell from the note. | Send it back with a question before deciding. |
Always leave a note#
Your note is emailed to the employee and shown on their screen. It is the whole conversation as far as they are concerned. Two sentences saying what you saw and why you decided as you did prevents almost every follow up.
Tip. Declining is harder than approving, so write the note first and let it decide for you. If you cannot explain the decline in two clear sentences, look at the claim again.
Closing the period#
Once a period is reviewed it is closed and no new claims can be added to it. Employees see a clear message telling them when the next one opens. Review everyone in a period together so nobody is judged on a different basis.
